The workflow process can be customised and varies according to the requirements of different receiving companies. You must be aware of the workflow processes that your company has implemented within Tradex. If you are the sending partner details, you must be aware of any specific requirements of your trading partners. The receiving company may have set up business rules that determine if a document is accepted, rejected, or routed to an approval process.
This approval functionality is based around the receiving partner’s workflow procedures and is tailored by Causeway. For example, invoices may be assigned to individuals for approval, or there may be a more complex process involving different departments. In the following pages, a typical invoice approval process is shown.
The receiver’s business rules may stipulate that invoices are placed in a pending status if the order number is in an incorrect format or if a monetary value is exceeded. Users then have the opportunity of making a correction and approving the invoice or rejecting it.
The following figure is an example of a notification e-mail for a batch of invoices that had some individual Invoices rejected by the receiver. You have to resolve the errors and resubmit the invoices. Others in the file may well have been accepted and will be processed normally.
