Control Strings in Microsoft Excel

The control strings are used to recognise the page breaks and other items on the imported bill pages by using control strings that the user inserts into a new blank column at column 1 in the Microsoft Excel spreadsheet.

In the following example, the strings are inserted in the first column (column A.).

The import routine will then use these control strings to assign the various types and page breaks into the imported data. You can save considerable amount of time during the import process by using the filter functions in Microsoft Excel to quickly insert the various control strings into the Microsoft Excel document before import. Filter the data in the Microsoft Excel by looking for the page numbers or collection, and then quickly insert page break indications in the first column (Column A) of the spreadsheet.

To configure the control strings, perform the following steps:

1.     Select a Microsoft Excel file that you wish to import. For more information, see  Importing Microsoft Excel Format Files.

The Import dialog box is displayed.

2.     Select the Strings tab.

The Strings tab of the Import dialog box is displayed.

3.     Select the Column1 Contains Control Strings check box.

4.     Update the values used for each control string as required.  For example, enter the values as in the above screenshot:

·         Bill Break: BBB

·         Page Break: PPP

·         PC Sum: PCS

·         Provisional Sum: PSUM

·         Preliminaries: PWK

·         Dayworks: DW

·         Included: INC

·         Sub Bill: L1

·         Major Heading: L2

·         General Heading: L3

·         Comment Item: L4

·         Priced Item: PI

Note: The control strings are case-sensitive, so “ppp” is different from “PPP”.

5.     Click OK.
